New Member Registration – How to Get Started?

Q: Which group should I sign up for?

A: Returning swimmers must have coach's approval before changing practice groups. New swimmers should use information on the CW Website (see Program Info and all its related paged links) to narrow down their choices, and then may attend trial practices and work with coaches to find the best fit. Coaches will always make the final group placement decisions.


Q: Where are the registration forms?

A: All registration forms are available online via the Program Info page of the website. Be sure to download and complete the correct form for either a new swimmer, returning swimmer, or swim development.

Q: Where do I send my registration forms and check?

A: Please mail registration forms and payment to Club Wolverine Swimming, Inc., PO Box 130229, Ann Arbor, MI 48113. This address is on the registration forms and on the footer of every website page. Unless you're turning in your forms during in-person registratin (fall registration only), this is the quickest way to get your froms to the registrar. Please do not give them to a coach.


Q: As a new member, what do I do to get started?

A: Welcome, new members! To get started with Club Wolverine, please make sure you:

1) Provide your swimmer’s proof of times to the Head Coach.
2) Register for the members-only area of the website. Click "Register" from the upper right corner of any website page and complete both brief online forms. Please allow a few days for us to verify registration (you are paid and on the roster) and set permissions, so don’t wait until last minute. You cannot complete meet entry until this is done.
3) Complete a transfer form if you’ve trained/competed under a previous USA Swimming-affiliated club. Send this form directly to MI Swimming. The form and more information are available via Fees and Payment Policies.
4) Set up a PayPal account for online meet entry. See the “Payment Policies & Instructions” section of the Resources page.

5) When members-only access is set up (you'll get a confirming email), access Meet Entry and add each family swimmer. Once added, a swimmer's name can be selected from a drop-down list during meet entry.
6) Review your Equipment needs.
7) Browse the website to get familiar with information, particularly Program Info (with related schedule information) and Resources.

Website Use (Members-Only)

Q: I forgot my password! What do I do?

A: Below the Login fields on the home page (lower left), click the “forgot your password” link, and complete the form. Your password will be auto-emailed to the email address on file with your members-only account.

Q: I'm entering my Login/Password, but it's not letting me in. Why?

A: Password is case-sensitive. Be sure to enter your password EXACTLY as you created it, with appropriate use of upper- and lowercase letters. Also, after five failed attempts in 30 minutes, your account auto-locks for security reasons. If this happens, use the Contact Us form to request it be reset.

Q: Can I change my password?

A: Yes. From members-only navigation, click Profile and complete the Change Password portion of the form.

Q: How can I change my email address or other contact information?

A: From members-only navigation, click Profile and update the form.

Q: Why require username/password to use the CW website?

A: Members-only login protects the privacy of the young children training with CW. Because our website draws traffic from all over the country and around the world, each family's username and password restricts access to team photos and club-proprietary applications to ONLY registered Club Wolverine team members.

Q: Do I need a username/password for each family member?

A: Membership website registration is limited to ONE ACCOUNT PER FAMILY. For ease of use, any member of your family logs in under a single account.

Meet Entry/Payment (Members-Only)

Q: I don't have my swimmer's USA ID. Where do I get it?

A: Complete the Contact Us form, available on the website, and this information will be emailed to you. For your child's protection, USA Swimming privacy policies prevent us from making this information publicly available. Swimmer IDs follow this format: date of birth (MMDDYY format), first 3 letters of first name, middle initial, first 4 letters of last name.

Q: Do I have to use online meet entry?

A: No, although it is the club-preferred method and much more convenient to you. If you choose not to use it, you can print a PDF of the meet entry form and submit it to the club with a check attached. Click Meet Entry (members-only) for the PDF and access to instructions.

Q: How do you know my entry is paid?

A: ONLY entries flagged as “paid” are downloaded for the coaches’ creation of the actual Hytek team entry. When you’ve completed PayPal payment, you must click the “Return to Merchant” link in PayPal to come back to the CW Meet Entry application. This flags your entry as “paid,” writes it to the database, and ensures that it is part of the data download for the actual team entry to the meet.

Q: How can I confirm that my swimmer is entered in a meet?

A: From Meet Entry, check the right-side link (“view new signups for …”), look for your PayPal receipt in your email inbox, and check TM Online a few days after the meet deadline.

Program Info and Payments

Q: How do I know which training group is right for my child?

A: Returning swimmers must have coach's approval before changing practice groups. New swimmers should use information on the CW Website (see Program Info and all its related paged links) to narrow down their choices, and then may attend trial practices and work with coaches to find the best fit. Coaches will always make the final group placement decisions. For a coach-to-parent discussion of your child’s needs, please stop by a practice location for a personal chat with a coach.

Q: Where is the training schedule?

A: See Program Info for a link to the Overview and Schedule. This schedule is typically updated once each week.

Q: What are CW fees?

A: Fees per training group are posted to Fees and Payment Policies.

Q: How do I know which pool my swimmer will be using?

A: The Overview and Schedule, available from the Program Info page, details training facilities and practice times for all training groups.

Q: What about refunds or prorations?

A: Please see Fees and Payment Policies for all payment-related club policies. Fees accommodate adjustments for high school swim seasons but beyond that, fees are not prorated nor refunded. Swimmers joining the club after the season’s mid-point are required to pay 60% of the session fee.

P3 Service (Members-Only)

Q: What is the P3 Policy?
A: The P3 Policy is a program in which member families earn a target number of points each year by volunteering at CW's hosted meets.

Q: Why do we have a P3 Policy?
A: The P3 Policy is simply a way to ensure that all member families participate in the running of our club's hosted meets, which is our primary method of fundraising. Funds raised benefit every swimmer by reducing fees, so it's important that every family participate.

Q: How many points do I need to earn?
A: The number of points that a family must earn is determined by the practice group of the family's eldest swimmer.  Families with swimmers in Swim Development only are not required to participate.  Please see the P3 Policy to determine the target number of points for your family.

Q: How can I earn points?
A: Points are earned by volunteering to work at the meets that are hosted by CW.

Q: What happens if I don’t earn my points?
A: If a family’s target is not reached, a fee of $.50 per unearned point will be assessed.

Hotline

Q: What is the hotline number?

Q: What happens to the messages I leave on the hotline?

A: Messages are checked infrequently and the preferred method of communication is the "contact us" feature of the website.

Official Apprentice Program

Q: Who can I contact to become an official?

Q: What steps are involved in becoming an official?

A: By following these steps:

  • Attending an Apprentice Swimming Official Clinic.
  • Taking the On-Line Swimming Official test.
  • Making MI swimming Non-Athlete registration
  • Finishing min. 6 sessions of apprentice meets.


Q: Do officials get paid?

A: CW officials do not get paid at all CW meets, but they get service points for the sessions they work. The normal official pay rate is $40 per session.


Q: How often do I have to work if I am an official?

A: You are required to work min. 4 sessions per year for maintaining the certification.

Board Meetings

Q: How often are board meetings scheduled?

A: Per club bylaws, meetings of the Board of Directors of Club Wolverine occur monthly, and are typically held the first Monday of every month. This schedule occasionally varies to accommodate other scheduled club events. Notice of each regular meeting of the Board of Directors is posted to the website under Events at least 7 days prior to the meeting.

Q: How do I contact board members?

A: Please see the Board page of the website for contact information of every Club Wolverine Director.

Q: Are members allowed to attend board meetings?

A: In accordance with club bylaws, “Members may and are encouraged to attend meetings of the Board of Directors, except when Directors are discussing sensitive personnel or membership issues (i.e., privacy and libel laws may be involved.)” Board meeting conduct is governed by Robert’s Rules of Order.

Q: How can I get an item on the board meeting agenda?

A: In accordance with club bylaws, “Members may present issues of concern to the Board at any meeting. The Board may designate a specific time period during which this may occur.”

Q: How can I get a copy of the bylaws?

A: The Bylaws of Club Wolverine are posted to the Resources page of the website.

Social

Q: How do I find out about social events?

A: All events are posted to the website’s Events area, in the far-right panel of all website pages.

Q: What kinds of social activities can I expect will be available to my child?

A: From in-person registration in the fall to the annual post-championship spring banquet, the club tries to offer varied social activities for groups of all ages. These include snacks and socializing during in-person registration (fall only); holiday break activities such as bowling, movies, or gym time; team dinners during travel meets; training-group-specific activities to charge batteries before spring championships; and the annual spring banquet. Poolside social activities and summertime picnics are also coordinated during long-course season.
