Making Online Payments to CW

Club Wolverine Swimming no longer accepts payments for meet entries via credit card or escrow acccounts.

The club's preferred method of payment for meet entries is now via Paypal online payment services. Manual (paper) meet entry accompanied by check is also accepted.

Why Paypal?

CW Swimming has discontinued handling credit card charges and escrow accounts for several reasons:

  • For financial health, we must enforce a "pay as you go" policy with online meet entries. Our previous processes did not enforce such a policy. There was often a long lag time between receipt of checks and processing of credit cards and escrows.
  • Credit card and escrow processing has become far too time-consuming for effective administration and reconciliation.
  • Paypal offers secure payment processing (with secure servers), gives members full control over the method of online payment they choose (credit card, debit card, bank account authorization, etc.), and allows members to check the status of their account at any time.
  • Also important, using Paypal means the club no longer needs to store sensitive financial information about our members either online or in hardcopy.

Beware of Phishing

"Phishing" is an email scam to get folks to reveal online account information so other unscrupulous folks can gain account access for fraudulent use.

Do not respond to the emails, which look authentic and often contain threatening language intended to move you to quick action.

Always access your account from the Paypal secure server (directly from www.paypal.com), never from an embedded email link that can redirect you to other unknown and potentially unsafe servers.

How to Set Up a Paypal Account

  1. Visit www.paypal.com.
  2. Click Sign Up Now.
  3. Choose to set up a "personal account."
  4. Complete the on-screen fields for your personal account information and click Sign Up.
  5. Very Important: Add a credit card, debit card, or other bank account authorization to your account.

That's it. It only takes a few minutes. You can routinely check your account status for a summary of all charges you authorize.

How to Pay Online during Meet Entry

  1. Access the online meet signup.
  2. Complete the on-screen fields to select the meet, swimmer, and events, while clicking Next to move from screen to screen. Verify your entry.
  3. Click the "Paypal: Click Here to Pay" button. You will immediately access the Checkout screen within Paypal.
  4. Log into Paypal with your email address and Paypal password. Certain information will automatically carry over to Paypal, such as the Pay to, Payment of (meet name and swimmer), and Amount (calculated via online meet entry).
  5. Click the "Pay [amount] Now" button. A screen confirming your payment appears.
  6. VERY IMPORTANT: Click the "Return to Club Wolverine Swimming" button. Doing this returns a Payment-Complete message to CW Online Meet Entry so your swimmer's entry gets entered to the database. If we don't receive this Payment-Complete message, your swimmer's entry is not processed by CW.
  7. Check your email in-box in a few minutes for the Paypal payment and meet entry confirmation. Keep a copy of this for your records.

Meet Entry the Manual Way

If you choose not to use Paypal, you can enter meets using the hardcopy entry form and mailing it simultaneously with a check attached, made payable to "Club Wolverine Swimming, Inc." Access online meet signup and click the "Pay by Check" link to access a printable copy of the entry form. Print it, complete it, and mail it with a check following the mail-to instructions on the form.

You are responsible for ensuring that your entry is mailed in time to meet the entry deadline. We cannot delay our team entry until member entries arrive by US Mail. Coaches cannot accept hand-delivery of paper entries or checks.Please help to ensure the financial health of the club and minimize administrative cost of follow-up by following the above procedures.

Paying for Other Fees

You can use Paypal for other CW Swimming payments, although for large amounts like session fees and large equipment purchases, we prefer a check payable to Club Wolverine Swimming, Inc. to avoid the loss of revenue due to Paypal administrative charges. (For session fees, we require an additional 3% to cover those fees.)

  1. Visit www.paypal.com.
  2. Log in using your email address and password and click Login.
  3. Click the Send Money horizontal tab.
  4. Complete the screen:
    • Specify "clubwolverineswimming@gmail.com" as the Recipient Email.
    • Complete the Amount.
    • Select a Category of Purchase.
    • Enter an Email Subject, as in "Smith 8/20/2006 Equipment Purchase."
    • Enter any other pertinent notes.
    • Click Continue.
  5. Review the Payment Detail screen for accuracy.
  6. Click Send Money.
  7. When the Money Sent screen confirms your payment, print it for your records and proof of payment to the club.
  8. Attach a copy of this to your equipment order form, registration form, etc., as appropriate.
